Visibility of absences up to 60 days in email signatures

One of the key changes is the extended support for absence information (Out of office) directly in email signatures. Administrators can now decide that planned absences will be visible up to 60 days in advance or in a shorter, freely defined time period.

This is particularly important in organizations that work on a project basis, internationally, or plan vacations and business trips well in advance.

How the new absence visibility works

The new feature works with HR integrations such as Calamari, thanks to which:

  • vacation and business trip data is automatically synchronized,
  • clear information about planned absences appears in the e-mail signature,
  • the administrator can specify how far in advance the message should be visible in the e-mail signature.

An example message in the signature might look like this:

“On vacation until August 12, 2025 – for urgent matters, contact: anna.nowak@firma.pl”

Thanks to this, a professional e-mail signature is no longer just a block of contact information, but begins to serve as a tool for transparent communication with customers and partners.

Benefits for teams and recipients

Extended visibility of absences:

  • reduces the number of unnecessary follow-ups,
  • limits frustration on the part of recipients,
  • facilitates redirecting contact to a substitute,
  • supports a consistent and predictable image of the organization.

Streamlined email signature installation process

The second area of improvement is the email signature installation process. In gSignature, this is one of the key points of contact between the user and the system, so we focused on its stability and readability.

What has been improved

New installation flow:

  • guides the user more precisely through the configuration steps,
  • displays error messages correctly in real time,
  • eliminates ambiguous situations that could previously lead to installation interruptions.

Toast error messages are now displayed clearly and immediately, allowing you to identify the problem faster and take appropriate action.

What this means in practice

Thanks to these changes:

  • the implementation of the e-mail signature generator in the organization is faster,
  • administrators need to intervene manually less often,
  • end users find it easier to go through the installation process regardless of the environment, whether it is Gmail, Outlook, or Exchange Online.

This is especially important in larger teams, where even minor installation issues can escalate into a large number of IT tickets.

More accurate management of payment methods and billing status

The third pillar of the update is the improvement of the Billing module. We have introduced extended payment method detection and more accurate billing status management.

Real-time verification

New verification mechanism:

  • works in real time,
  • prevents erroneous payment status changes,
  • precisely identifies the payment methods used,
  • maintains full consistency of billing data.

This gives administrators and finance teams the confidence that the information displayed in the panel is up to date and consistent with the actual billing status.

Less uncertainty, more control

Improved payment detection means:

  • faster detection of billing issues,
  • lower risk of unjustified feature blocks,
  • greater predictability of costs and subscription statuses.

Why this update matters to your organization

Although the changes described above affect different areas, they share a common goal: to increase the reliability of gSignature in everyday use.

With this update:

  • HR teams and administrators can better communicate employee availability,
  • users can install signatures faster and with greater confidence,
  • and finance departments can work with accurate and up-to-date billing data.

These improvements do not change the way users work, but they eliminate operational friction and increase trust in the system.

gSignature as a stable environment for managing e-mail signatures

All of the changes described are in line with gSignature's main mission:

to provide maximum automation and control over professional e-mail signatures – from personalization and installation to billing.

This is another step towards a system that not only allows you to create aesthetic and consistent email signatures, but also provides real support for operational processes within the organization.

Finally, here's a question worth asking:

do your company's email signatures inform recipients about the team's availability and work as predictably as the rest of your communication?
