E-mail signature instalation

Installing a e-mail signature is an important process, and it is worth testing the e-mail signature you are working on with your own address or a narrow audience and then in the next step place it for a team, group or entire domain.

Adding a signature for a group, shows its members. You can add such signature for group members as well as group members + aliases.

This function also allows you to display employees directly in units.

To install the selected signature, select the button:

(a) We can set the e-mail signature for:

  • Selected employees from the list and assigned employee alias, 
  • The current user, that is, the one who is currently logged into the application,
  • Organizational units and groups (if completed  in Google Workspace)

In the upper right corner, you will find the button “Set for all”, which sets the e-mail signatures for all employees in the entire domain (except for excluded addresses). With this button, you can install the current signature version for all employees and their e-mail aliases with just one click. You no longer have to go through each profile manually and start the installation for each one.

How does it work?

  1. Select a template: Select the template you want to apply to all users.
  2. Click on “Set for all”: Start the process of mass signature installation.
  3. All employees: The template will be applied to all employee accounts in your organization.
  4. All aliases: The template will be applied to all email aliases in your organization.
  5. Employees and aliases: The template will be applied to both employee accounts and aliases.
  6. Track progress: A progress bar will appear on the screen to inform you of the installation status for each user.


Once the e-mail signature installation is started, a window will appear at the bottom of the screen with information on the installation status, it will take into account how many addresses out of the total number are in the process of being installed, in the specified queue, when the last update was, and when the installation was completed. The bar will display a list of all aliases and employee email addresses, along with information on the deployment status for each. Thus, you can see how many signatures and aliases are already installed.


IMPORTANT! After each e-mail signature deployment, Gmail must be refreshed by the employee himself or reopen the tab from Gmail to see the e-mail signature after the update.

On the “Employees” tab, there is a column called “Last installation date”. This allows you to easily check when an employee last had an up-to-date signature.
