Editing the signature

Each e-mail signature has its own name so that you can later filter signatures in the “Employees” tab, for example. Administrators now have even more control over signatures thanks to the new remote email signature removal feature. The signature removal option works from the employee list as a “Remove signature” button (for primary addresses and aliases), and there is also an option to reset the status of excluded primary addresses to re-enable them for signature management.


We paste the selected e-mail signature into the editor or import a design from the free template library.

When we paste our own pattern, we can do it immediately in graphic form or in HTML by switching the editor beforehand with the </> button in the right part of the toolbar, to HTML editing mode. We recommend creating email signatures based on HTML tables.

Want to save time creating a signature from scratch? Use our new import and edit template features. You can:

  • Import a template from various sources: Copy your current signature from Gmail or another email client and paste it directly into the editor.
  • Use ready-made templates: Browse through our gallery of professionally designed templates and choose the one that best suits your needs.
  • Import from gSignature generator: If you have already created a template in the generator, you can transfer it to gSignature with just one click.

The editor features a live preview based on real user data, which makes it easy to check the formatting and aesthetics even before installation.

The gSignature email signature editor now features a groundbreaking AI-powered feature. Thanks to integration with Google's Gmini model, users now have access to an intelligent, contextual signature editor that works entirely from within the browser – no HTML or CSS knowledge required.

This is another step towards a no-code environment where even people without technical experience can easily create and modify professional email signatures.

Create signatures from scratch

Just enter a prompt, e.g., “create a signature for the sales department with a CTA and a link to LinkedIn,” and the AI will generate a complete layout—with text, colors, icons, and structure.

Editing ready-made templates

You no longer have to search through HTML code. You can remove icons, add sections, change text or links using simple text commands.

Adding dynamic variables

With a single command, you can transform a static signature into a dynamic one – e.g., “add variables for name, position, and phone number.” The editor will automatically replace the content with tags such as ${userName}, ${jobTitle}, ${phoneNumber}, and adjust the entire structure.

After generating or importing a template, you still have full control. You can modify it freely in an intuitive HTML editor with instant live preview of changes. This combination of AI and visual editing allows you to tailor the signature even more precisely to the needs of your organization.

Important: 10,000 characters is the maximum number of HTML code characters that can be sent via the Gmail API. E-mail signatures with more characters are not sent and cannot be installed. In Server-Side mode, gSignature eliminates the 10,000-character limit in Gmail and provides signatures in all messages (including replies and forwards), as well as consistency across multiple devices and systems.

While editing, we also have the option to include add-ons by selecting them from the list: Link, Banner, Additional Banner and Legal Disclaimer - these elements are separately manageable in the "Extensions " tab https://app.gsignature.com/addons 

You can control the order of add-on elements in the template using variables: ${addonBanner}, ${addonAdditionalBanner}, ${addonLink}, ${addonDisclaimer}, and the add-on interface itself has been refreshed and made more transparent.

The editor features a Variables menu: grouped categories, a search engine, name copying, and the ability to drag and drop variables directly into the signature.



At the bottom, while editing the template, you can see 3 columns with dynamic variables. To save the changes and apply them immediately to all users, simply click on the new “Install all” button. This function will automatically update the signatures of all employees, ensuring consistency and saving time. If you want to save the changes for yourself or a selected group of users only, use the “Save” button.

There is a “Save & Reinstall” option available, which allows you to save template changes with a single click and automatically reinstall signatures for all assigned users without leaving the editing mode.

Additionally, if you want to maintain full consistency over time, you can enable “Daily reinstallation of signatures” in Advanced Settings and set the time for automatic updates.
