1. Using spam filters

One of the most effective ways to fight spam is to use anti-spam filters, which analyze each e-mail message and automatically classify it as safe or spam. Modern systems, such as those offered by email service providers, are able to identify suspicious messages based on their content, headers and sender behavior.

How to set up a spam filter?

  • Make sure your corporate email inbox has a built-in spam filter.
  • Use the advanced settings to adjust filter sensitivity.
  • Enable spam reporting so the system learns from the messages it receives.

2. Verify senders and use checklists.

To protect yourself from spam even more effectively, it's a good idea to configure lists of allowed and blocked senders. This way you can decide for yourself who you want to receive messages from.

Best practices:

  • Add addresses you trust to the allowed list (whitelist).
  • Use blacklists (blacklists) to block known spammers.
  • Take advantage of technologies such as SPF, DKIM and DMARC, which help verify the authenticity of the sender.

3. Use quarantine systems for suspicious messages

Some organizations use quarantine systems that keep suspicious messages in a separate space until an administrator verifies them. This prevents important messages from being accidentally marked as spam and deleted.

Quarantine benefits:

  • Ability to manually verify messages.
  • Reduced risk of deleting important emails.
  • Protection against phishing and malware.

How do you secure your company's emails?

If your company uses HTML email signature, you can add special markings for trusted senders, making it easier to filter messages. Using a professional e-mail signature also allows you to verify legitimate senders in your business communications.
